The Role: Coordinator, Complaints and Discipline

We are seeking a Coordinator, Complaints and Discipline to join the College’s Complaints and Discipline team. This role requires an exceptionally organized, adaptable and analytical professional, dedicated to providing comprehensive administrative support for complaints intake and investigations. Reporting to the Director, Complaints and Discipline, the ideal candidate will support cases relating to the Complaints and Executive Committees. The incumbent will facilitate triage and efficient and effective resolution of inquiries to the College, which can include assisting members of the public in filing complaints as necessary. They will also act as a staff resource to various committees.

Specific Duties and Responsibilities:What you will be doing in the role:

- Responds to queries from the public regarding the complaints and reports processes and providing relevant and accurate information with respect to the investigations and hearings processes.




- Liaises with the Director, Complaints and Discipline as required, including regarding matters scheduled for committee review.
- As required, corresponds with parties to the complaint/report to collect additional supporting documentation required to perform assessments of the complaint/report.
- Prepares correspondence and documentation of Committee decisions (e.g., letter enclosing decision) and send decisions to parties.
- Forwards case materials to legal counsel in the event of a prosecutorial viability opinion or referral to the Discipline or Fitness to Practise Committee.
- Updates information into the registrant database with respect to identified data/metrics, both before and after Complaints/Executive Committee meetings.
- Ensures that the Public Register and College website content is current and in accordance with policy, legislation,



AODA and the College’s record management principles.
- Acts as backup coverage for other Coordinators in department as needed.
- Liaises with external vendors as required i.e. external decision writer, external investigators.

Committee Support
- Schedules Complaints/Executive Committee case review meetings and acts as Recording Secretary.
- Schedules orientation for the Complaints/Executive Committee.
- Assembles, finalizes case agendas and uploads the Committee package to Board Effect.

What you will bring to the role:
- A post secondary education with diploma or degree in Administrative Law, Business Administration or equivalent combination of education and experience.
- A minimum three years’ experience in office administration or equivalent.
- Experience working in a regulatory body an asset.
- Excellent time-management,



problem solving and organizational and office administration skills.
- A desire to take initiative, demonstrate professionalism, and sound judgment when handling sensitive and confidential information. The ability to work independently and to contribute as an integral member of a team.
- Skills and talents that allow you to easily navigate multiple tasks setting priorities, achieving deadlines, while being accurate and attentive to details.
- Excellent communication skills, both written and verbal, and the ability to effectively establish and build trust and relationships with key individuals and groups.
- Demonstrated experience to take initiative, work independently, exercise good judgment and seek support as necessary.
- Demonstrated experience with handling sensitive and confidential information with compassion and empathy.




- Advanced technology proficiency with Microsoft 365, including Teams, Outlook, Word, Excel, and PowerPoint.
- Demonstrated experience in a relational database and willingness to learn new applications.
- Proficiency in French an asset.

Compensation and Benefits

- The position is full-time, permanent.
- Hiring salary range $76,930 - $79,781.
- Downtown Toronto office (directly on Line 2 of the TTC).
