ChampionX has an immediate need for a temporary part-time Administrative Assistant to support our Commercial Sales team located in Calgary, AB. If you are an enthusiastic people person who thrives in collaborative environments and fosters a positive workplace culture, we encourage you to apply.
This role is crucial for ensuring the efficient operation of the sales team, corporate events, and office activities. The ideal candidate should have excellent communication skills and be adept at building and maintaining relationships.
This is a temporary part-time position ending in January 2026 for maternity leave coverage.

What You Will Do:
- Manage executive travel and expense submission promptly.
- Oversee general office management tasks, including access passes, conference room bookings, timely office communications, and mail handling.
- Handle building and lease management, and communicate updates and announcements to office staff.
- Plan and coordinate events, including internal and external customer-facing events in coordination with our global event planning team.
- Manage accounts payable for invoices from local office staff.
- Arrange event booth setups, swag, marketing materials, trade shows, and other tasks for successful events.
- Manage event budgets and track expenses.
- Order and maintain office supplies, including groceries, supplies, and catering.
- Handle emails, phone calls, letters,
and packages to ensure smooth office and team operations.
- Provide support to colleagues as needed to maintain efficient office operations.
- Greet visitors and handle inquiries to maintain a professional office environment.
- Provide administrative support to the sales team, including preparing and organizing documents, event agendas, and purchase orders.
- Perform other duties as required.
Position Details:
- Candidate must reside in Calgary, AB or the surrounding area.
- Work schedule: 3 days per week (24 hours/week)
- This is an on-site role.
- Immigration sponsorship is not available for this position.
- Not eligible for company benefits.
Minimum Qualifications:
- High school diploma is required, post-secondary education is preferred.
- 3-5 years of comprehensive administrative experience in an office environment,
executive assistant, receptionist or similar position.
- Some SAP experience is preferred, but not required.
- Event planning experience would be an asset.
Qualifications:
- Must have strong interpersonal and communication skills and ability to work very well and closely with others.
- Strong computer skills in Microsoft applications.
- Basic financial literacy.
- Strong time management skills.
- Good communicator who can build and maintain strong relationships.
- Good understanding of accounts payable/budgets.
- Self-starter with strong motivation to complete tasks.
- Strong attention to details.
