Your opportunity:
Under the general direction of the Business Officer and day-to-day direction of the Chair, the incumbent is responsible for providing a full range of confidential secretarial and administrative support to ensure the efficient operation of the Chair’s office, including academic processes for promotions, tenures, searches, and research leaves, and managing all aspects of an intensive appointment schedule.
Your responsibilities will include:
- Applying established standards when administering academic search activities
- Collecting documentation required to carry out the tenure and review processes from senior leadership
- Ensuring that research practices adhere to policies and procedures
- Serving as a resource to others by providing (non-supervisory) job-related guidance
- Determining logistical details and activities for events and/or programming
- Scheduling travel plans and requesting appropriate accommodations
- Verifying the accuracy and completeness of documents
- Handling sensitive and/or confidential information
Essential Qualifications:
- Advanced College Diploma (3 years) in business, administration, or a related field or acceptable combination of equivalent experience
- Minimum three years of related experience as a senior executive assistant providing support to a senior administrator/academic administrator
- Demonstrated experience providing administrative support in a service-oriented academic department
- Experience in a university setting with knowledge of academic policies, procedures, and regulations
- Demonstrated experience with academic processes such as searches, tenures, and promotions
- Demonstrated experience with processes related to research leaves
- Outstanding computer skills as applied to databases, spreadsheets, word processing, and direct, demonstrable experience with Windows operating systems (Word, Excel, PowerPoint)
- Strong skills with email, intranet, and internet use
- Knowledge of ROSI and Taleo (or similar systems)
- Demonstrated ability to exercise tact, good judgment, and diplomacy when dealing with students, faculty, and staff
- Excellent communication (verbal and written), analytical, and organizational skills
- Ability to exercise and maintain confidentiality
- Highly service-oriented with a genuine commitment to fulfill the academic department's mission and offer quality service while fostering positive working relationships with all areas of the University
