Reporting to the Supervisor, Investor Correspondence; the Administrator,
Investor Correspondence is responsible for responding to written correspondence from security holders, their representatives, and the investment community.
This role is Hybrid 3 days/week at the Office
Key accountabilities:
1. Respond to enquiries of a non-routine nature; this may involve extensive research of various kinds of current and historical records.
2. Research and respond to written enquiries concerning the replacement of lost or destroyed dividend/interest payments; verify status of cheques; place requests for stop payments.
3. Produce cheques for returned EFTS items; forward payments to security holders.
4. Arrange for payment of accrued dividends upon receipt of requisition from Corporate Restructures.
5. Liaise with the Tax Group to ensure accurate production of relevant tax forms.
6. Update status of each enquiry on the tracking system as the file progresses.
7. Identify and advise the Supervisor of complaints as well as trends and opportunities to improve service levels, apparent by the nature and number of enquiries.
8.
Develop a detailed knowledge and understanding of the services offered by clients to their security holders and keep up-to-date on circumstances which affect the security holders especially security transfer requirements.
9. Maintain and provide monthly statistics for fee and performance reporting purposes.
10. Ensure compliance with policies, procedures and regulatory requirements.
11. Perform other duties as assigned.
Must Have(s):
1. College diploma or university degree, or equivalent experience with Business, English and Writing Skills being major area of study
2. Canadian Securities Course, an asset
3. 1 to 3 years of experience in a similar role
4. Proficient in Microsoft Office suite
