The City Manager's Office is seeking a motivated and experienced administrative professional to provide executive level support to the Chief of Staff's Office, specifically the Intergovernmental Affairs and High Level Office for Reconciliation and Anti-Racism (HLO) sections. This role is integral in providing excellent service to our internal client departments, elected officials, and the City’s external intergovernmental partners. It requires professionalism, political acumen, attention to detail, flexibility, discretion in handling confidential information, conflict resolution skills, and strong organizational and time management abilities in a high work volume environment.





This position offers a unique opportunity to contribute to the City's intergovernmental relations and reconciliation efforts, involving daily operations support, liaison with stakeholders, and ensuring smooth office functioning. What will you do?

- Support Directors, Senior Executive Advisors, and the Executive Assistant by managing office supplies, travel requests, meeting coordination, event logistics, and special projects.
- Coordinate City Council and Committee reports from creation to submission, including:
- File/Folder creation and management
- Collaboration/circulation with external departments for approvals
- Tracking and updating report spreadsheets
- Scheduling report review meetings
- Managing report statuses and distributions

- Provide comprehensive support for preparing documents, including council reports and high-level correspondence, ensuring timely and accurate completion with minimal direction.
- Act as the primary contact for City Clerks and related committees,



and coordinate Cabinet information from Provincial and Federal governments.
- Maintain relationships with various government levels, demonstrating cultural sensitivity and strong communication skills.
- Manage and track POSSE assignments and the Intergovernmental Affairs group email account, handling incoming correspondence and inquiries.
- Engage in project management and assist with budget processes, ensuring adherence to budget constraints.
- Provide coverage for the Executive Assistant as needed.

Qualifications:

- Completion of a related administrative or business certificate from an approved institution.
- A minimum of 2 years’ clerical support experience, including document formatting and general office practices.

Assets:

- Experience with Google Suite, Microsoft Office, Adobe Acrobat, and POSSE.




- Experience in public service environments and knowledge of government structures.
- Senior level/executive support experience and connection with Indigenous communities.

Skills required for success:

- Understanding of Indigenous communities and their contexts.
- Diplomacy, adaptability, and conflict management skills.
- Ability to build relationships and manage executive calendars and travel arrangements.
- Strong organizational skills and attention to detail.
- Proactive and capable of working independently.

Work Environment:

- This position may offer a hybrid work arrangement with flexibility between home and the worksite.
- The weekly hours of work are under review and changes will align with the collective agreement.
