As such, we are seeking a very organized, attentive and service-oriented Front of House Administrator to provide assistance in managing key office operations to ensure the smooth and efficient running of camp activities.
Position Title: Front of House Administrator
Department: Education, Camps
Number of Vacancies: 1
Type of Employment:
Seasonal contract, from May – September 2025. Training starting in May 2025 (part-time hours) with an increase to a regular work schedule in June. Camps run from June 30 - August 30, 2025.
Hours of Work: Monday to Friday, 35-40 hours per week (training on weekends may be assigned)
Rate of Pay: $19 per hour
Work Location: On-site at our waterfront campus in Toronto
Job Description
The Front of House Administrator plays a pivotal role in supporting the Registrar, Camps by managing key office operations to ensure the smooth and efficient running of camp activities. Key responsibilities include implementing administrative procedures aligned with camp policies, providing exceptional customer service to guardians and caregivers, and assisting camp staff with necessary resources to enhance camp delivery. This role demands strong organizational abilities, keen attention to detail, and excellent communication skills to effectively engage with both internal teams and external stakeholders.
Duties
- Handle general customer service inquiries via in person, phone and email.
- Assist the Registrar with processing cancellations and changes in registrations.
- Support the Transportation Coordinator by updating the bus hotline daily.
- Sign out campers who take the bus at the end of the day in CampBrain.
- Oversee the general tidying of the front office area, including organizing books, toys, and restocking marketing materials.
- Provide technical support for attendance procedures, including troubleshooting and assisting with tablets and laptops.
- Process payments and refunds using the registration database and/or a Point of Sales system.
- File documents and maintain organized records.
- Stock, maintain, and track office supplies.
- Follow up on customer concerns and incidents.
- Support other camp staff with administrative tasks as needed.
Requirements
- Currently studying in post-secondary education in a field such as education, the arts, administration, or a related field, or have equivalent experience.
- 1-2 years of customer service experience.
- 1-2 years of relevant experience in an office setting or administration.
- Previous experience in an education setting, daycare, school or camp.
- Exceptional written and verbal communication skills, with the ability to interact confidently with patrons, guardians, caregivers, staff, and volunteers.
- Ability to work independently, take ownership of tasks, and manage daily responsibilities effectively.
- Punctual and strong organizational skills, efficiently handling email/phone correspondence, prioritizing urgent tasks, balancing time constraints, and staying on track with schedules.
- Strong commitment to the safety of campers and staff.
- Consistently bring a responsible,
positive attitude and enthusiasm to the role.
- Ability to remain calm and patient when addressing customer service concerns regarding buses and transportation delays.
- Experience with CRM systems and/or registration database software such as CampBrain is desirable.
- Comfortable using phones and proficient in common computer programs (e.g., MS Word, Excel, email, printers, and laminators).
- Standard First Aid and CPR-C certification is an asset.
- As a condition of employment, a Criminal Background Check (with Vulnerable Sector Check) is required of the successful candidate. The cost of this screening is to be covered by the incumbent.
- Must be legally eligible to work in Canada. All international applicants must have a valid employment Visa authorizing their ability to work in Canada for the duration of the seasonal contract.
- This role is based in Toronto. The candidate must be able to work on site at our lakeside campus.
