SUMMARY
A Parts Coordinator manages tasks related to inventory in a warehouse setting. Their role includes physical, administrative, and management duties to maintain stock inventory at optimized levels, ensuring the business operates efficiently to meet contractual obligations.
Please note, this is a full-time onsite position located in Burnaby.
KEY DUTIES & RESPONSIBILITIES
Inventory Control
- Prepare required parts for technician pick-up and truck restocking.
- Track and manage stock on technician trucks and replenish parts based on pre-determined reporting.
- Monitor inventory levels and report exceptions for replenishment.
- Analyze parts calls to order necessary parts, emphasizing urgency.
- Assist local technicians with part changes and inventory issues.
- Communicate inventory issues with national parts manager and technicians.
- Lead annual inventory audit for the warehouse and trucks.
- Coordinate warranty parts returns and ensure credit procedures are followed.
- Transfer customer-owned dispenser parts to inventory for future use.
- Innovate procedures to solve problems and share with the national parts manager.
Sourcing and Purchasing
- Create and place purchase orders for non-standard job parts.
- Negotiate prices with vendors to obtain the best rates.
- Manage vendor relationships to reduce order lead time.
- Monitor parts orders and update management of exceptions.
Warehouse Management
- Ensure safety compliance with corporate HSE standards.
- Inspect safety gear and maintain organization in the warehouse.
- Label and barcode select inventory.
- Conduct housekeeping and safety audits.
- Manage waste disposal and maintain a tidy work environment.
Shipping and Receiving
- Receive and confirm shipment of new parts, checking condition and invoiced amounts.
- Manage transfer of parts to warehouse and technician bins.
- Handle shipments to other regional shops and customer sites.
Accounts Payable
- Manage invoices from vendors, ensuring timely billing and approval.
KNOWLEDGE & SKILLS
- Time Management: Prioritize and plan time-sensitive duties.
- Office Experience: Advanced business software skills (e.g., SAMPro, Excel, Outlook).
- Problem Solving:
Break down challenges into manageable tasks.
- Supply Chain Management: Hands-on experience in supply chain or logistics preferred.
- Warehouse Management: Experience in warehouse operations preferred.
- Fuel Industry Knowledge: Experience in customer service in the fuel service industry preferred.
- Relevant Post-Secondary Education.

This position offers a salary range of $43,931 - 54,919 per annum based on competencies, experience, and education.
