Reporting to the Director of Advancement, the Advancement Coordinator provides administrative, organizational, fundraising and communications support in the Advancement Office operation. Essential elements of this position include participating in the planning and execution of events, alumni/annual fund, social media, fundraising relationships, and alumni communications.

Responsibilities

Donor Relations

- Working with the Director of Advancement, assists with the planning and execution of two direct mail campaigns per year, fall and spring.
- Creates, edits, and prepares donor correspondence. Composes and prepares routine letters and memorandums.
- Assists with organization and execution of events, such as the Gala Dinner, Alumni Weekend, and donor-focused recognition events.
- Assists with coordination of planning for meetings, event venues, programs, and logistics (i.e. catering, space bookings,



entertainment); oversees mail, digital, and phone invitation/reply processes.
- Assists with the Advancement office's stewardship programs, in particular the tracking function.
- Assists with tactical organization of mailing lists and collateral materials for Direct Mail, Annual Fund, Phonathon, special events.
- Assists with alumni updates, including regular monitoring of media sites.

Communications

- Production and distribution of the Alumni magazine, Connections (two issues per year) including writing, editing, and oversight of all stories, photography, and managing graphic design services.
- Assists with the development of donor and other reports as required, such as Endowment Reports, the Community Report, Informer reports, Board of Governors reports, and Campaign materials.
- Writes and designs newsletters, holiday cards, impact reports,



and solicitation emails in the software system Campaigner, for Advancement and Alumni activities.
- Participates in design graphics for fundraising campaigns using Adobe InDesign, Creative Suite, Creative Cloud, Photoshop, and Smug Mug.
- Operates the online giving software Artez to create online giving pages for a variety of fundraisers and events that occur through multiple different departments on campus.
- Creates and designs social media posts for the St. Thomas Alumni social media pages (Facebook, X (Twitter), and LinkedIn).
- Assists with creating content for the Alumni Relations website.
- Receives outside request for publication on St. Thomas Alumni social media accounts and in the St. Thomas alumni magazine, Connections.

Qualifications

- An undergraduate degree, plus 5 years of experience or equivalent.



Work experience/education in the fields of project management, communications, data management, or Advancement is required.
- Excellent decision-making skills, including the use of proper judgment when interpreting existing data and supporting documentation.
- Working competency/proficiency with database procedures, and record management systems, including data exporting. Previous experience with Ellucian/Colleague Advancement would be an asset.
- Experience researching constituent biographical information and preferences.
- Experience with social media for friend-raising and fund-raising.
- An understanding of varying types of gift processes, including reconciliation tasks associated with online gifts and third-party fundraising.
- Experience in using MS Word and MS Excel, and comfort working with multi-modular database programs and information systems.




- Comfort level with online donor and registration systems, e.g. Artez, Eventbrite.
- Demonstrated initiative, and ability to exercise discretion and to work under deadline pressure.
- Excellent attention to detail.
- Initiative and ability to organize and complete work assignments with minimal direction. Must be able to work independently, as well as collaboratively.
- Excellent communication (verbal and written) and interpersonal skills, with a commitment to customer service.
- Professional telephone and office manner and strong organizational skills are essential.

Working Conditions:

- Regular requirement to work under pressure to meet deadlines.
- Awareness of a variety of activities which are proceeding simultaneously.
- Conflicting demands may cause stress.
- Frequent use of confidential information.




- Occasional evening and weekend work (programs and events).

Term: Permanent

Hours of work: Full-Time (35 hours per week); Monday to Friday; 8:30 a.m. - 4:30 p.m.

Classification/Level: Band 5

Salary Range: $51,988 - $71,668
