The Toronto Region Immigrant Employment Council (TRIEC) is seeking an experienced Senior Manager, Finance & Operations to lead TRIEC’s Finance and Operations activities.

ROLE SUMMARY
The Senior Manager, Finance and Operations,



is responsible for ensuring the efficient functioning and integrity of TRIEC’s finance and operations. This position works in close collaboration with the CEO, VP Program and Operations, the TRIEC Board of Directors, and is a member of the TRIEC senior leadership team.

The responsibilities of this role include:

• Office Management

Reports to: Chief Executive Officer

Direct reports:
• Finance Coordinator
• IT and Database Manager

Liaises closely with Senior Managers and Team Leads responsible for managing program budgets.

Compensation: $80,000 to $85,000 per year, plus employer paid benefits package.

Hybrid Work Arrangements: This role will be part of a hybrid work arrangement, working 3 days every 2 weeks in the office (located in downtown Toronto) and the remaining days remotely.

RESPONSIBILITIES

Financial Management
Ensure the successful financial management of the organization:




• Analyze and present financial reports in an accurate and timely manner; clearly communicate financial information to support budget management; oversee all financial, project/program and grants accounting.
• Coordinate and lead the annual audit process, liaise with external auditors and the Finance Committee of the Board of Directors; assess and implement any changes necessary.
• Oversee and lead annual budgeting process in conjunction with the CEO; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status.
• Develop management reporting to support the organization’s strategic and operations plans.
• Manage organizational cash flow and forecasting.
• Document and maintain complete and accurate supporting information for all financial transactions.




• Maintain financial accounting systems for cash management, accounts payable, accounts receivable, credit control, and expense reimbursement.
• Ensure compliance with internal financial and accounting policies and procedures.
• Oversee a robust contract management and financial management/reporting system; ensure that contract billing and collection schedule is adhered to.
• Oversee the accounting functions including maintenance of the general ledger; receive and record incoming funds.
• File routine government documents and ensure timely updating of corporate information.
• Maintain an internal control framework and monitor compliance with controls, policies and procedures.




• Update and implement all necessary business policies and accounting practices; improve the finance department’s overall policy and procedure manual.
• Review expense reports to ensure proper authorization and policy compliance.
• Prepare and distribute internal monthly financial reports comparing budget to actuals.
• Oversee all the banking relationships for the organization.
• Project manage and support the CEO with the new program initiatives as assigned.

Grants and Contributions Management
• Provide financial support (budgeting, cash flows) to the team on the development of government, foundation, and corporate sponsorship proposals.
• Grants, Contract Administration/Reporting.
• Oversee the financial aspect of all grants, including negotiation, reporting, financial and deliverable tracking, and correspondence with funder contacts.




• Ensure compliance with financial conditions of funding agreements including conditions relating to use of restricted funds.
• Develop and administer documents, budgets and reports for government funders, external agencies and vendors as required.
• Meet periodically with program leads to monitor budget performance and ensure funds are being spent according to plan.
• Maintain good working relationships with all internal and external stakeholders.
• Prepare and review contracts for signature.

Strategy, Planning and Risk
• Actively participate in the senior leader table responsible for operating and strategic planning.
• Develop and maintain a risk management plan with the CEO, TRIEC team and the Board of Directors.
• Champions financial data transparency that helps in the decision making process across the organization that helps build financial acumen internally and for the Board.





Board and Committee Support
• Board and Committee meetings: prepare materials for meeting packages; support the Finance Committee and the Treasurer.
• Serve as a staff liaison for the Finance and Audit Committee.
• Present a short- and long-range financial plan that supports the strategic objectives of the organization.
• Work with the Finance Committee to establish and maintain sound internal controls and policies.

Human Resources
• Recruitment and Compensation: maintain job descriptions; oversee job offers, payroll and group benefits.
• Ensure compliance with regulations (e.g. AODA, Health and Safety committee, etc.).
• Maintain personnel files, track salary changes, end of probation periods, anniversary dates of employment, scheduling, vacation and contract dates.
• Oversee employee on-boarding and exiting of TRIEC.




• Maintain leave records and prepare individual and annual reports as requested.
• Update the employee policies and procedures as required.

Office Management
• Manage vendor relationships, lease, insurance, and ensure smooth operations of the office (equipment, space).
• Follow procedures relating to retention, protection, retrieval, transfer, and disposal of records.

Essential Qualifications and Experience
• Undergraduate degree in business administration, finance, accounting, or related discipline
• At least five years’ experience in financial accounting, preferably in a Not-for-Profit setting
• Knowledge of operations, funding formula and reporting requirements for government funding agencies at federal/provincial level.
• Ability to interact with all levels within organization,



including board members as well as external stakeholders.
• Knowledge of QuickBooks, intermediate to advanced level MS Excel, PowerPoint, etc.
• Excellent communication skills (written, presentation, oral) in an open, direct, clear and persuasive manner. Strong active listening skills.

• Ability to determine solutions in addition to recognizing problems
• Ability to operate at a high level of independent thinking
• Resourceful and willing to take initiative
• Professional Accounting Designation (Chartered Professional Accountant preferred)
• Previous experience as a team lead or supervisor an asset
• Ability to supervise, delegate and motivate team members to continuously improve
