Based out of West Edmonton Mall’s Security office, the Administrative Assistant has the responsibility of providing efficient and effective administrative support to the Safety and Security department while taking the lead on special projects, assignments and responsibilities.
Primary Responsibilities
- Preparing and coordinating of confidential and highly sensitive business correspondence and documentation while ensuring all timelines are adhered to.
- Screening, forwarding, and responding to emails, phone calls, inquires and acting as a liaison between business partners /clients and the Security team.
- Acting as a point of contact for prospective security agents and communications agents applicants.
- Conducting a monthly analysis of security calls for service and investigations to identify crime trends.
- Maintaining a database of all security calls for service and investigations for workload analysis purposes.
- Responding to information requests, prioritizing workloads, and speaking on behalf of the Security department when requested.
- Completing mall security checks for potential new hires for the Human Resources and Maintenance departments.
- Exporting basic time sheet and payroll reports, checking for errors, and sending off the correct timesheets for payroll processing.
- Maintaining daily calendars and coordinating meetings including the management of appointments, preparation of meeting materials and locations.
- Taking detailed notes, minutes at the meetings and compile meeting minutes and documentation.
- Assigning tasks resulting from the meetings and follow up on progress to assure timely response by the person(s) with designated responsibility.
- Completing audits of office supplies and submitting orders as required.
- Inputting invoices into accounting software to be approved by the Director of Security.
- Completing various other administrative duties and responsibilities as required.
Desired Qualifications
- A minimum of three (3) years-experience in a similar office environment in an Administrative Assistant role.
- Individuals with post-secondary education in Office Administration program are preferred.
- A professional attitude and demeanor complemented by excellent client relations skills and the ability to establish and maintain strong working relationships.
- Strong organizational and time management skills complemented by the ability to work independently and make split-second decisions when required.
- Excellent typing and computer skills including a strong working knowledge of MS Office programs Word, Excel, Powerpoint and Outlook as well the ability to adapt to other software programs as required.
- A strong business sense as well as the initiative to take on new responsibilities and duties as they arise and previous supervisory experience is a definite asset.
Terms Of Employment
- This is a full-time position required Monday through Friday, 8:30am – 5pm.
- This position qualifies for our 4-day workweek program.
- This is a salaried position that will depend on experience and qualifications.
- Must be able to pass a basic security clearance.
