Volunteer Coordinator, Ooks Life Team (2025-26)

What is Ooks Life Team?

Every year, NAITSA hires a team of students to help plan and promote a variety of events and initiatives for their fellow NAIT students. The Ooks Life Team (“OLT” for short) is a team of students who work together to create memorable experiences and a strong campus culture.

Being part of OLT offers the opportunity to learn and grow your skills, all while being fully immersed in campus life - and getting paid for it!

There are different positions on Ooks Life Team ranging from Clubs Events and Clubs Finance, Marketing and Promotions, Engagement, Involvement, Volunteer, and Events.



Each position has different responsibilities but everyone works together as a team to contribute to the collective goals and success of Ooks Life Team.

Position Summary

Volunteer Coordinators are responsible for implementing a series of initiatives (in-person and/or virtually) under the “NAITSA Volunteers” brand that will encourage students to give back, build their personal portfolios, as well as helping to connect those experiences to tangible skills learned outside the classroom. From networking with registered non-profits, to coordinating volunteers at an event, administering the Volunteer Path and ensuring students are recording their hours in Ookslife.ca, the role is full of opportunities for personal growth and to make a real difference for NAIT students.

Responsibilities

Volunteer Coordinators are integral to providing students with a well-rounded campus life experience. This role has four key functions:

Networking & Relationship Building

- Increase non-profit organization partner retention by fostering relationships.




- Work with partners to ensure position postings are kept up-to-date and follow-up with any student inquiries to the organization.
- Find and pursue leads to increase the number of partner non-profit organizations.
- Build and maintain relationships with NAIT instructors and other staff on campus that require students to complete volunteer hours for their class.
- Act as the point of contact for partners via phone, email, and in-person.
- Talk to students to learn trends in volunteering experiences they would like to participate in.

Event Planning & Coordination of Student Volunteers

- Coordinate a series of monthly volunteer events (virtual and/or in-person) that will engage students in meaningful work in the community.
- Coordinate and lead volunteers when required during NAITSA projects, events and initiatives.




- Prepare the student volunteers to be successful during their volunteer work through training, supervision, and appreciation.
- Assist with various administrative tasks for the campus volunteer program, “Ooks Crew”.

Student Communications

- Increase awareness of the importance of volunteering.
- Communicate current and upcoming opportunities both on- and off-campus to students via the NAITSA website, newsletter, Ooks Life App, and social media initiatives.
- Support partner non-profit organization initiatives by helping to recruit student volunteers.
- Work to develop awareness for all ”NAITSA Volunteers” initiatives to increase awareness of the opportunities to students and staff at NAIT.
- Report regularly to the OLT about project updates, initiating marketing plans and other relevant work as needed.




- Coordinate and host a Volunteer Fair where non-profit organizations are on campus talking about their volunteer opportunities and Volunteer Coordinators share other upcoming opportunities.
- Create and distribute a monthly newsletter to all students interested in volunteering.

Student Service Hours Administration

- Ensure student volunteer hours are tracked in Ookslife.ca.
- Administer the Volunteer Experience Path including formal recognition for those who complete the path.
- Develop a reward program for students who are outstanding volunteers.
- Maintain records for volunteers at NAITSA initiatives.
- Ensure NAIT staff are recording student volunteer hours on Ookslife.ca; provide training where necessary to NAIT staff.
- Answer student inquiries sent to [email protected] email account.

Hours of Work & Employment Term

This is a part-time,



temporary position with an employment term end date of April 30, 2026. Hours of work vary each month. There are limited summer hours, with the majority of this job’s responsibilities occurring during the academic year. Most shifts and hours are scheduled on campus, with some exceptions for off-campus events and working remotely as required. The successful candidate must be a student enrolled in classes for the full term.

Qualifications and Considerations

- Must be a NAIT student enrolled for the entire 2025-2026 academic year.
- Excellent verbal and written communication skills.
- Timeliness and dependability to meet deadlines.
- Familiarity with Ookslife.ca - able to navigate features and has a basic understanding of how students utilize the platform.
- Familiarity with Microsoft Office suite and Google Workspace applications.




- Familiarity with Ookslife.ca and the Ooks Life app is an asset.
- Comfortable planning and leading small events (<30 people).
- Must be able to lift and move up to 25lbs.
- Must have a computer with a camera and microphone for virtual meetings, training, and working remotely as needed.

- You consider yourself a “problem solver” and aren’t afraid to take some initiative to find creative solutions.




- Confidence with public speaking and engaging with the NAIT community.
