Clubs Events Coordinator, Ooks Life Team (2025-26)

What is Ooks Life Team?

Every year, NAITSA hires a team of students to help plan and promote a variety of events and initiatives for their fellow NAIT students. The Ooks Life Team (“OLT” for short) is a team of students who work together to create memorable experiences and a strong campus culture.

Being part of OLT offers the opportunity to learn and grow your skills, all while being fully immersed in campus life - and getting paid for it!

There are different positions on Ooks Life Team ranging from Clubs Events and Clubs Finance, Marketing and Promotions, Engagement, Involvement, Volunteer, and Events.



Each position has different responsibilities but everyone works together as a team to contribute to the collective goals and success of Ooks Life Team.

Position Summary

The Campus Clubs Events Coordinator acts as a contact for club leaders looking for peer-to-peer support and assistance with their club event operations. Clubs Events Coordinators have two specialties: Delivering Campus Clubs programming (such as Club at the Pub, club VIP events, club socials, etc.) and managing club event submissions via ookslife.ca. Both specialties will also be responsible for supporting front desk coverage, fostering a positive relationship between student clubs and the students’ association, and supporting NAITSA Campus Clubs services (such as equipment management, club training and basic financial transactions).

Responsibilities

The Campus Clubs Events Coordinator is integral to providing students with a well-rounded campus life experience focused on student club involvement. This role has two key functions:

Club Leader Support





- Provide peer-to-peer support through virtual and/or in-person meet-ups for club events procedures such as event submissions, room scheduling, equipment booking, ticket management, risk analysis, and Club at the Pub planning and execution.
- Assist in mentoring clubs through Ookslife.ca Club Training Paths for event planning and execution processes.
- Offer support and leadership for student-led club events to show support use of the Event Check-In App and Square payment processing.

Clubs Events Support & Assistance

- Assist the Student Clubs Events Operations in processing administrative tasks (event submissions, equipment bookings, risk analysis)
- Assist in compilation of data for club reports and utilize data to support strategic planning goals
- Assist in hosting workshops targeted to club leaders for event coordination and planning




- Assist in Campus Clubs department events and initiatives where required; such as Campus Clubs Leadership Flagship events, Club Showcases, Elevation Series
- Contribute to OLT meetings and projects
- Assist in coverage where required for the Campus Clubs front desk reception (Clubs Centre is open Monday-Friday, 8am-4pm)
- Provide support for other OLT sub-committee initiatives

Hours of Work & Employment Term

This is a part-time, temporary position with an employment term end date of April 30, 2026. Hours of work vary each month. There are limited summer hours, with the majority of this job’s responsibilities occurring during the academic year. Most shifts and hours are scheduled on campus, with some exceptions for off-campus events and working remotely as required.



The successful candidate must be a student enrolled in classes for the full term.

Qualifications

- Must be a NAIT student enrolled for the entire 2025-2026 academic year.
- Availability during the week (Monday-Friday) to accommodate your work hours and meetings as necessary.
- Preference for candidates with availability to work 3-hour shifts during office hours (weekdays).
- Excellent written and verbal communication skills.
- Timeliness and dependability to meet deadlines.
- Familiarity with Microsoft Office suite and Google Workspace applications.
- Must be able to lift and move up to 25lbs.
- Must have a computer with camera and microphone for virtual meetings, training, and working remotely as needed.

- Confidence with public speaking and using a microphone.
