Resource Manager
We are seeking a highly organized and proactive Resource Manager to join our marketing agency. This role is critical to our daily operations, ensuring the efficient allocation of resources across our disciplines, including creative, copy, technology and digital media departments.

Job description
- Resource Planning: Manage daily and weekly resource allocation for creative, copy, technology and digital media teams, ensuring projects are staffed appropriately based on skillsets, priorities, and timelines. Attend Mod Op global resource planning meetings and coordinate with other offices to cross-resource when needed.
- Workload Optimization: Monitor qualitative and quantitative utilization reporting and balance workloads within teams, identifying opportunities to optimize capacity and prevent burnout.
- Process Improvement: Continuously refine resource management processes and tools to enhance efficiency and transparency.
- Collaboration & Negotiation: Work closely with department leads, project managers,
and account teams to understand and provide solutions that are appropriate for project requirements, timelines, and resource needs.
- Forecasting: Maintain a forward-looking resource schedule to anticipate and address capacity gaps or surpluses.
- Problem-Solving: Proactively identify resource conflicts or bottlenecks and recommend solutions to ensure seamless project delivery. Rapid response problem-solving may also be needed in order to respond to changing factors influencing project delivery.
- Timesheet Management: Accountable for timesheet completion across the agency, as well as review and approval of all timesheets.
- Talent Management Support: Partner with Operations and department heads to understand team members’ skills and career development goals, aligning projects accordingly.
- New employee onboarding:
This role is expected to play an important part in new employee onboarding including training new employees on all aspects of our resources process, and other elements of onboarding as determined.
- Other operational tasks: This role may participate in other aspects of the business such as digital marketing report reviews, new business proposal writing, management of awards submissions, case studies and other marketing materials.
Key Qualifications
The ideal candidate must have:
- Experience: Minimum 3-5 years in resource management, project management, or operations in a marketing, advertising, or digital agency environment.
- Communication: Exceptional verbal and written communication skills, with the ability to negotiate and influence stakeholders at all levels.
- Organization: Detail-oriented with excellent multitasking and time management abilities.
- Flexible problem-solving:
A solution-oriented mindset, adept at navigating complex challenges and adapting to changing priorities.
- Analytical Skills: Strong ability to analyze data, forecast needs, and develop actionable insights.
- Education: Bachelor’s degree in related field preferred, but not required.
- Bonus: Experience working in NetSuite, Basecamp or other resource management tool.
