Position Summary
Reporting to the Senior Advisor & Director,
Business Planning, the Project & Change Management Specialist is responsible for project managing complex business improvement and enterprise change management projects which have the potential to impact multiple different stakeholder groups. These projects are selected during the annual business planning cycle or are the result of an approved off-cycle business need. These projects can have a high degree of change for internal and external stakeholders.
The Project & Change Management Specialist is responsible for setting up and managing, start to finish, complex/higher-risk strategic projects having the potential to impact multiple different stakeholder groups. Additionally, the Project & Change Management Specialist is responsible for creating and implementing change management strategies and plans that maximize stakeholder adoption and usage and minimize resistance.
This role uses change management methodologies to drive faster adoption, higher ultimate utilization of and proficiency with the changes that impact employees or various other stakeholders.
This role acts as a coach for senior leaders and executives by helping them fulfill the role of change sponsor.
Where appropriate, this role partners with IT to support gathering and documenting business process requirements to inform technical and functional requirements.
Responsibilities
- Provide project management support for key business projects using project management approaches, tools, and phases of the project lifecycle.
- Apply project management best practices to manage multiple priorities and navigate through ambiguity.
- Manage the planning of projects as assigned to ensure the project has clearly defined scope, resources, schedule, and budget.
- Identify, analyze and prepare risk mitigation tactics.
- Integrate change management activities into project plan.
- Researching, creating, coordinating and/or completing project documentation,
ensuring it is accurate and complete.
- Providing regular project updates to other Project Managers, the Project Sponsors, and/or the Project Management Office.
- Provide regular project updates to ELT given the size and nature of the program/project
- Provide program/project updates at APEGA townhalls
- Work with tools/systems such as SharePoint, Atlassian, (JIRA, Confluence, etc.)
- As an expert in change management, through the Project Management Office, this role is responsible for establishing processes and best practices in change management that are appropriate for APEGA.
- Enthusiastic change agent with experience in large-scale organizational change efforts
- Expertise in change management practices, principles, and methodologies – demonstrating a solid understanding of how people go through change
- Understanding of organizational change issues and challenges.
- Creating and implementing change management strategies and plans for strategic projects, process improvements and changes in corporate programs that maximize employee and/or external stakeholder adoption, use and minimize resistance.
- Support project teams in integrating change management activities into their project plans.
- Act as a coach for senior leaders and executives in helping them fulfill the role of change sponsor.
- Provide support and coaching to all levels of managers and supervisors as they help their direct reports through transitions.
- Provide change management support on significant technology implementations.
- Work with team and leaders to develop and implement new support material based on the revised processes.

- PMP or CAPM certification would be considered an asset.
- Experience and knowledge of change management principles, methodologies and tools. Prosci certification or equivalent.
- Lean or Six Sigma certification would be considered an asset.

- Excellent knowledge of Visio and process mapping, cumulative flow diagrams, etc.
- Experience with SharePoint.
- Strong computing skills including proficiency with MS Office suite (Word, PowerPoint, Excel, Office 365)
- Experience with Atlassian products such as Confluence and JIRA.

Qualifications
- Bachelor’s degree or equivalent.
- Advanced study in project management and change management is preferred.
- Enthusiastic change agent with experience in large-scale organizational change efforts
- Previous experience partnering with an IT on projects to turn business requirements into solutions is considered an asset
- 5-7 years proven project management and change management experience from a similar role.
- Project Management Professional (PMP) certification or Certified Associate in Project Management (CAPM)
- Experience working with Atlassian products (JIRA, Confluence, Etc.)
