Position Summary:
The role of the Patient Care Coordinator is to act as primary administrative support for a busy plastic and reconstructive surgeon. The Patient Care Coordinator is responsible for the overall patient flow and will act as the central point of contact for patients, clinical staff and administration, ensuring that coordinated care is provided by developing and monitoring multidisciplinary care. This role manages the administrative responsibilities including booking ORs and perioperative clinic appointments for patients, chart management, and general office management including filing, financial record keeping, and payment collections.
This position is specifically intended for in-person work; remote or hybrid work arrangements cannot be accommodated.
Qualifications and Requirements:
- Post-secondary education in a relevant discipline and 2 or more years of patient care coordination experience or equivalent combination of education and experience
- Previous experience in a healthcare setting or similar administrative role
- Excellent communication skills, both verbal and written, with the ability to interact effectively with patients and healthcare professionals
- Strong organizational skills and the ability to handles multiple tasks simultaneously with strong attention to detail
- Proficient computer and IT skills, including knowledge of electronic medical records (EMR) systems, Outlook, Word, Excel and PowerPoint, iCal (imac). Previous experience with EMR (Accuro) is an asset
- Demonstrated empathy, compassion, and patience when dealing with patients and their families
- Ability to demonstrative initiative by taking on tasks and additional responsibilities proactively
- Maintain general knowledge of new trends and systems by attending educational programs, workshops, research, etc.
Duties and Responsibilities:
- Act as first point of communication for patients, hospital staff and external contacts such as Public Affairs, Media relations and Office of the Patient Experience
- Coordinate patient care by organizing and scheduling multidisciplinary clinics; ensuring clinic, OR, procedures and appointments are up to date in surgeon's calendars; ensuring that clinics and OR's are managed to promote usage of full potential
- Guide patients through preoperative and perioperative processes including providing procedure specific information, arranging testing and appointments, scheduling and coordinating follow-up appointments and care plans
- Management of the patient EMR (electronic medical records) database including patient information entry, scheduling, processing referrals, photo documentation,
waitlists management, and patient communication
- Manage the administrative flow of the office including providing admin support, office supplies, patient registration and scheduling, meetings, insurance coordination (OHIP and private) and other administration as required
- Maintain an up-to-date and organized filing system (e-files and hard copy in some instances), as well as an organized office space
- Financial administration including issuing invoices and receipts, payment collection, billing reconciliation
- Manage surgeon's calendar, scheduling meetings and travel arrangements
- Manage surgeon's academic responsibilities including scheduling, managing communication and orientation
- Enhance divisional admin team performance by contributing to related tasks as needed
Compensation:
- Salary: $45,000-$48,000 (based on level of experience)
- Benefits: Standard health and dental coverage, commencing after successful completion of the probation period
- Vacation: 3 weeks per year
