McMillan has an exciting opportunity as a Legal Support Services Team Lead (LSS Team Lead), in our Toronto office. The LSS Team Lead will join a dynamic legal support services team and will work closely with the National Manager, Legal Support Services, helping to support the daily administrative operations of the Toronto Legal Administrative Assistant group. The LSS Team Lead will also provide administrative support to the National Legal Support Management Team and the Document Administrative Support Hub (DASH), as required. This role does not have supervisory or performance management responsibilities.
This role offers a hybrid telework arrangement.
What You’ll Do
You will be a key member of the team who is committed to providing efficient and client-focused service.
Under the supervision of the National Manager, LSS, you will act as a first point of contact for LSS inquiries, resolving routine LAA matters and overseeing daily LAA absences and urgent support coverage. You will organize and participate in local and national LAA meetings, set agenda items, investigate issues, and communicate solutions. Key responsibilities include updating monthly share group charts, coordinating LAA assignments for Summer Law and Articling Students, drafting communications about new hires, retirements, anniversaries, and supporting the planning and execution of LSS events or activities, including the annual holiday event. You will recommend process improvements for workload efficiency, assist with ensuring LAA compliance with vacation and professional development policies, and stay updated on internal procedural changes, acting as a technology and change champion. Recruitment support includes drafting job postings,
reviewing candidate applications, interviewing candidates, and overseeing onboarding and mentorship. Additional duties include maintaining national LSS resources, updating LSS intranet content, supporting DASH workflows, preparing reports, and assisting with workflow coordination. Broader administrative support to the National LSS Management team will also be required as needed.
What You Bring
You are currently in a legal support role at a law firm or in a professional services environment, or you are a legal administrative assistant who is looking to take the next step in your career. You have a minimum of five to seven years of experience and a Legal Assistant or Office Administration Diploma. You have strong administrative, organizational and interpersonal skills. You display strong leadership skills, take initiative,
are innovative and solution focused. You are attentive to detail, are able to effectively meet deadlines, work well in a team setting, and you are able to think critically under pressure and exercise independent judgment. You are able to manage sensitive and confidential information. You have a keen interest in learning, embrace evolving technology, and have strong skills in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat Pro.
