The Opportunity
This position provides administration support for the Office of the City Clerk.
This is a temporary position until November 14, 2025.
Accountabilities
- Responsible for the main reception area and responding to requests for information and/or assistance from Council, staff and the general public both in person and via telephone.
- Assist with document preparation and management, data entry, record & file management and mail distribution.
- Provide administrative support to the City Clerk and other staff as required.
- Process all departmental invoices and requisitions using workplace and/or other software as necessary.
- Manage mobility device coordination including ordering, changing, upgrading, and maintaining the relevant software.
- Record, maintain and manage databases for any/all duties including, telecommunications – mobility and landlines, civic events, etc.
- Develop and maintain forms for both external and internal use in relation to functions associated with the Office of the City Clerk (i.e., telephone request form,
room usage agreements, committee applications, etc.)
- Review, process and track all room usage requests for the Foran/Greene Room and the Great Hall ensuring the applications submitted adhere to the requirements. In consultation with the requestor and relevant staff, coordinate the set-up requirements for each use.

Qualifications
Education:
Graduation from High School and completion of an Office Administration diploma or comparable education.
Experience: Five (5) years’ work experience in an administrative role of similar complexity and accountabilities. Must possess excellent communication skills, both written and oral. In-depth knowledge of Microsoft Office suite (including, but not limited to, Word, Excel, PowerPoint and Outlook). Strong organizational and analytical skills. Ability to deal with people in a professional, tactful, and diplomatic manner.
An equivalent combination of education and experience acceptable to the City may be considered.
Hours of Work
Monday - Friday
9:00 a.m. - 4:30 p.m.
