Reporting to the Vice President, Philanthropy, the Executive Assistant is a key member of the high-performing and fast paced Philanthropy team.
Responsible for supporting the Philanthropy Leadership Team, largely the Vice President, in a number of operational, scheduling and systems activities; this role ensures their leaders have the tools, information and support to deliver fundraising excellence for the Alberta Cancer Foundation.
The successful individual will have the diversified administrative knowledge and practical expertise required for comprehensive executive support including, documentation preparation and proofing, complex issue coordination and resolution, detailed calendar and Inbox management, and comprehensive relationship management through communication excellence. Specifically, this role will provide organizational continuity between the Vice President of Philanthropy, internal and external teams and partners, and donors, all while representing the Foundation with the utmost integrity and professionalism.
Key Tasks & Responsibilities:
Executive Support
- Provides a bridge for smooth communication between the Executive office and internal departments; builds clarity and trust,
while maintaining professional rapport and confidentiality.
- Provide succinct, accurate and timely responses to written and phone inquiries received on behalf of the Executive; Prioritize inquiries that require a response for seamless stakeholder service
- Prepare, edit, and send internal and external correspondence, reports and presentations on behalf of the Executive(s) upon request, recognizing the nuance and complexity required.
- Collaborate with members of the Executive Team, Philanthropy Leadership Team and Board Liaison, on behalf of the Executive to compile information required for board reports, donor reports, annual reports and financial audit, ensuring a close attention to detail.
- Proactively managing a demanding and fluid calendar and Inbox, anticipating the needs of the Executive and other key stakeholders,
including but not limited to; organizing meetings, catering and facilities as required, coordinating and supporting tech support as required and ensuring managing and circulation of materials, minutes, etc.
- Travel & Expense management, including but not limited to; travel booking and organizing, invoice payments, expense and credit card reconciliation, etc.
- Work together with the entire Executive Team, Leadership Team, other Executive Associates and remaining Foundation staff and volunteers to achieve set directives and goals and assist larger team where required.
- Administrative support for projects or tasks as assigned for the Philanthropy team
- Foundation wide support for office or meeting coverage.
Stakeholder Support
- Establish rapport with identified Stakeholders, including senior leaders in the community, fundraising Cabinet volunteers and their support team(s),
to build professional relationships on behalf of the Foundation and to coordinate meeting schedules and communications.
- Coordinate assembly of materials required for donor meetings and communications.
- Track and enter donor activities in the Foundation’s Customer Relationship Management system
- Attend Stakeholder meetings to ensure accurate capture and timely distribution of meeting minutes, actions and communications, where required.
- Full range meeting support for all Fundraising Stakeholder meetings, including but not limited to; meeting booking and coordination, including all logistics and catering, tech set up and support and preparing, proofing and circulating all associated materials.
- Represent ACF among the Foundation’s Board of Trustees, AHS, Foundation Relations, Cancer Control,
and/or other donors and stakeholders to support and represent the Executives as identified and required.
Required Qualifications:
The successful candidate for this role will possess the following:
- Undergraduate Degree in Office Administration, Business Administration or other relevant discipline.
- Minimum 5-7 years of experience providing administrative support at Senior Management, Executive or Board level.
- Previous experience working with Board and Committee volunteers is important, in a non-profit or healthcare environment is preferred.
- Knowledge of Fund Development practices, processes and systems is an asset.
- Possess excellent written and verbal communicate skills, adept at tailoring to appropriate stakeholder needs and situations.
- Ability to thrive in a fast paced and dynamic environment,
you can use sound judgement and business acumen to solve problems, prioritize issues and take initiative.
- Demonstrated skill in maintaining positive and professional relationships with all stakeholders, leveraging your ability to collaborate and influence.
- Ability to operate independently or part of a team, you are compassionate and dependable in your efforts to help others.
- Please note that a combination of varying education credentials and work experience may be considered.
