We are seeking an experienced and highly organized Executive Assistant to provide dedicated support to our Vice President. This is an excellent opportunity for someone who thrives in a fast-paced environment and is eager to contribute to the success of the leadership team.
Job Overview:
As the Executive Assistant to the Vice President, you will be the primary point of contact for all executive-level tasks. You will manage the VP’s calendar, coordinate meetings, and handle day-to-day administrative functions. This role requires exceptional organizational skills, the ability to prioritize effectively, and the capability to work independently while maintaining professionalism and discretion.
Key Responsibilities:
- Manage the Vice President’s calendar, scheduling and coordinating meetings, appointments, and events.
- Assist with preparation and coordination of meetings, including drafting agendas and compiling materials.
- Handle internal and external communications on behalf of the Vice President, including emails and phone calls.
- Organize travel arrangements, accommodations, and itineraries as needed.
- Maintain confidential records, files, and documents related to the Vice President’s activities.
- Assist in preparing, monitoring, and managing the annual departmental budget, including expense tracking, variance analysis, and providing periodic updates to the executive team.
- Prioritize and manage a variety of tasks to meet deadlines in a fast-paced environment.
- Prepare and edit correspondence, reports, and presentations as required.
- Assist in the coordination of projects, ensuring all deadlines are met.
- Perform general office tasks such as filing, organizing, and maintaining office supplies.
- Ensure a smooth workflow by acting as a liaison between the Vice President and other departments or stakeholders.
- Handle occasional errands; a valid driver’s license and transportation are required.
Requirements:
- Proven experience as an Executive Assistant or similar role, supporting senior leadership.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication skills.
- Ability to work independently, taking initiative to solve problems and manage priorities.
- High level of professionalism, confidentiality, and discretion in handling sensitive information.
- Strong attention to detail and accuracy in all tasks.
- Ability to multi-task and adapt quickly in a fast-paced environment.
Education and Experience:
- Minimum of 2 years of experience supporting an executive in a similar role.
Competencies:
- Sound judgment, discretion, and professionalism.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to remain calm under pressure and prioritize effectively.
