Norton Rose Fulbright Canada LLP is currently seeking a Receptionist/Office Services and Facilities Clerk to work in the Office Services and Facilities group in our Toronto office from Monday to Friday between the hours of 10:00 a.m. – 6:00 p.m. As such, you will be the first point of contact for those who visit the firm. You will ensure that customer services are front of mind during all interactions whether over the phone or in person. The successful candidate will report to the Catering Team Leader. The primary responsibilities of the position are outlined below.
This is a 14-month temporary contract.
You will be focusing on:
- Greet clients and visitors, ensuring a clean, welcoming environment in the conference area
- Receive and relay incoming calls and deliver messages as necessary
- Handle items received at Reception and use best judgement to prioritize sensitivity
- Coordinate scheduling of conference and meeting rooms, liaising with the hospitality and technical team as required
- Keep a visitor log and issue temporary security passes to staff as necessary
- Assist the Business Solutions Centre (Mailroom/Copy Production) team when and where necessary
- Book restaurant reservations (for large groups), purchasing gifts for clients and/or staff when required (e.g. pre-packaged baskets, flowers, etc)
- Perform various related administrative tasks for the OS&F; team, which may include preparing invoices for approval, running reports on meeting room utilization, posting internal communications notices via Scoop or "Need to Know"
What you bring to the role:
- Previous work experience in a receptionist/administrative position, in a professional services firm
- Passionate about delivering exceptional service to ensure an exceptional client experience
- Possess excellent customer service skills with the ability to communicate effectively with all levels of staff and our clients and guests
- Demonstrate a solutions-driven approach with the ability to anticipate clients' needs
- Experience or familiarity with handling concierge-type tasks (e.g. being knowledgeable about the area, good restaurants, where to buy tickets, etc.) would be an asset, but not required
- Solid computer skills, including experience with Microsoft Office and EMS room management software or another similar boardroom booking program
- Experience dealing with confidential issues in a discrete manner is essential
- Ability to succeed in a team-based environment as well as excel independently
- Strong organizational skills and attention to detail
- Ability to juggle multiple tasks in a time-sensitive environment
