Position Summary
Reporting to the Director, Real Estate and Property Management, the Inventory Assistant will support the documentation and management of assets across various properties. This includes tracking tagged assets, updating inventory data, and assisting with gathering key property details.



The role will also contribute to improving asset management processes and help meet organizational goals related to space optimization and insurance.

Duties and Responsibilities

- - Accurately track and document all assets and equipment on-site at various locations, including fixed tangible assets like TVs, fridges, microwaves, and hot plates.
- Record key asset details, including serial numbers, warranty status, maintenance requirements, and repair needs.
- Ensure all assets are properly tagged and categorized for easy identification and reference.
- Collaborate with the Property Management and Real Estate teams to assess asset conditions and identify items in need of repair or replacement.
- Update and prepare inventory reports, tracking warranties, and documenting items requiring repair or replacement.
- Gather and document key property details, including square footage, room counts, and other relevant building specifications.
- Organize and maintain records of this data to meet insurance and space optimization needs.
- Use Microsoft Excel and SharePoint to organize, update, and manage asset and inventory data.
- Prepare regular reports on asset status,



identifying gaps or issues in asset tracking and documentation.
- Assist in reviewing and improving property management and asset tracking processes for greater efficiency and accuracy.
- Support the integration of inventory data with broader organizational goals, such as insurance management and space planning.
- Work effectively with Property Management, Real Estate, and Insurance teams to gather necessary data and ensure accuracy in asset records.
- Communicate clearly and regularly with site managers and other stakeholders to clarify asset needs and resolve any issues.
- Perform other related duties as assigned by the Director or team leads to support the success of the organization.

Canada Summer Job Requirements

- Must be between 15 and 30 years of age at the beginning of the employment period.
- Must be a Canadian citizen,



permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.
- Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.

Qualifications

- Currently enrolled in, or recently completed, post-secondary education.
- Relevant work experience (placement opportunities included) in similar customer service environments is an asset.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office (Word, Excel, Outlook, Publisher) and database management.
- Dependable, punctual, and flexible in handling various tasks.
- Ability to work efficiently both as part of a team and independently.




- Proficiency in a second language is an asset.
- Must be qualified to work in Canada legally for the employer.
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
- Must have up-to-date vaccinations against COVID-19 with a vaccine that has been approved for use in Canada.
