Position Summary
Reporting to the Manager, People and Culture, the People and Culture, Administrator- Canada Summer Jobs is responsible for providing a variety of administrative support to the People and Culture team including digitizing employee records and other documentation.
Duties and Responsibilities
- Scan, organize and maintain physical and digital People and Culture files.
- Assist with tracking project progress.
- Update and maintain employee records, ensuring accuracy and confidentiality.
- Assist in the documentation of People and Culture processes and procedures.
- Maintain accurate information and documentation.
- Work collaboratively with the Director, Dixon Hall staff, volunteers and partners.
- Actively participate in department and agency meetings and events.
- Meet regularly with the Director and other staff to discuss individual, and team and effectiveness.
- Work under the guidance of the agency and program policies and procedures, including the Mission, Vision and Values of Dixon Hall.
- Other duties as assigned.
Canada Summer Jobs Requirements
- Must be between 15 and 30 years of age at the beginning of the employment period.
- Must be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.
- Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
Qualifications
- Currently enrolled in, or recently completed, post-secondary education in Communications,
- Currently enrolled in, or recently completed post-secondary education in Human Resources Management, Business Administration, or in another related program.
- Relevant work experience (placement opportunities included) in similar office environments is an asset.
- Excellent written and verbal communications skills.
- Proficient with Microsoft Office (Word, Excel, Outlook, Publisher) and database management.
- Ability to exercise good judgment and use discretion.
- High standards of ethics and confidentiality to handle sensitive information.
- Dependable, punctual and flexible.
- Able to work efficiently as part of a team as well as independently.
- Must be qualified to work in Canada legally for the employer.
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
- Must have up-to-date vaccinations against COVID-19 with a vaccine that has been approved for use in Canada.
