The Road to Recovery Intensive Care Management team

The Road to Recovery Intensive Care Management team is part of Vancouver Community Specialized Substance Use Services and the Road to Recovery Initiative. The team follows BC provincial ICMT standards and guidelines. The target population is a cohort of clients who struggle with severe problematic substance-use, mental health, and chronic health conditions,



and who are motivated to make changes towards recovery. This cohort often has repeated admissions to bed-based withdrawal-management services and requires intensive clinical outreach services. The team approach is 7 days/week, up to daily contact, wrap-around, multidisciplinary, and recovery focused.

As an Administrative Assistant with VCH, you will:

- Perform administrative/clerical support functions for a department and/or program.
- Screen and prioritize incoming materials.
- Supervise clerical staff as required.
- Act as a receptionist; answer telephone and greet visitors, determine nature of call/visit, take or relay messages or provide general information about program, services and/or other community resources or refer to others.
- Provide assistance with recruitment requests; complete information for posting purposes according to procedure when directed to fill vacancies.
- Provide assistance with monitoring and analyzing program budget.
- Process and/or monitor expenses.
- Perform word processing duties; draft forms, prepare/type letters, memos, and reports.
- Transcribe assessments,



case reviews, progress notes and summaries.
- Assist with web-site maintenance and other communication strategies including resources and communication bulletin boards.
- Compile statistics, maintain timekeeping records, maintain departmental levels of stationery and make arrangement for building and/or office equipment maintenance and repairs.
- Maintain client charts.
- Schedule/arrange appointments/bookings for clients.

Education & Experience

- Grade 12.
- Office Administration Certificate plus three (3) years recent related experience or an equivalent combination of education, training, and experience.

Knowledge & Abilities

- Knowledge of general office procedures.
- Knowledge of medical terminology.
- Ability to type at 50 w.p.m.
- Ability to keyboard 6,000 keystrokes per hour.




- Ability to establish and maintain rapport with clients.
- Ability to communicate effectively/tactfully both verbally and in writing.
- Ability to compose business correspondence.
- Ability to plan, organize and prioritize.
- Ability to work under the pressure of interruptions and adapt to changes.
- Ability to problem solve and take initiative.
- Ability to work both independently and as a member of a multidisciplinary team.
- Ability to do basic mathematical calculations.
- Ability to operate related equipment.
- Basic computer literacy to operate a computerized client care information system and word processing, spreadsheet, Internet and e-mail software.
- Physical ability to perform the duties of the job.

The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.

As per Ministry of Health policy,



all health care workers working in publicly-funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering of any missing vaccines, and for appropriate actions to be taken in the event of any future exposure to a communicable disease or during outbreaks. For all new hires and appointments to Vancouver Coastal Health, you will be asked to provide this information as part of the onboarding process.
