We are seeking a highly organized and detail-oriented Account Receivable Specialist to join our childcare center's administrative team.
The Account Receivable Specialist will play a crucial role in managing the center's financial transactions, ensuring accurate and timely processing of accounts receivable, and maintaining positive relationships with parents or guardians regarding billing inquiries and payment matters. This role is essential to the smooth functioning of our childcare center and will require exceptional communication skills, financial acumen, and a genuine passion for supporting families in their childcare needs.
Responsibilities:
1. Billing and Invoicing:
Generate and process accurate and timely invoices for childcare services
rendered to parents or guardians on a regular basis. Ensure billing details align with the childcare
service agreements and accurately reflect the child's attendance and additional services, if
applicable.
2. Payment Processing: Receive, record, and process payments from parents or guardians through
various payment methods (cash, checks, electronic transfers, etc.). Reconcile payment records
with invoices to ensure proper allocation of funds and update the accounts receivable ledger
accordingly.
3. Collections and Follow-ups: Proactively follow up on overdue accounts and outstanding
balances. Contact parents or guardians via phone, email, or in-person to address payment
inquiries, resolve disputes, and arrange payment plans, if necessary. Maintain a respectful and
empathetic approach during collection efforts.
4. Record Keeping and Documentation: Maintain accurate and up-to-date records of all financial
transactions related to accounts receivable. Organize and file relevant documents, payment
receipts,
and correspondence to ensure easy retrieval and compliance with accounting
standards.
5. Financial Reporting: Assist in preparing financial reports and summaries related to accounts
receivable, including aging reports and revenue analysis, to present to management for review
and decision-making purposes.
6. Parent Communication: Serve as a primary point of contact for parents or guardians regarding
billing inquiries, payment methods, and account status. Provide clear explanations of billing
procedures and policies to ensure transparency and clarity.
7. Collaborative Teamwork: Collaborate with the childcare center's administrative team and the
finance department to ensure smooth communication and accurate financial reporting.
8. Policy Compliance:
Adhere to childcare center policies, financial procedures, and privacy
regulations to maintain the integrity of financial operations and safeguard sensitive information.
9. Continuous Improvement: Suggest and implement process improvements to enhance the
efficiency and effectiveness of accounts receivable operations.
Qualifications:
• High school diploma or equivalent; associate or bachelor's degree in finance, accounting, or a
related field is preferred.
• Proven experience in accounts receivable or a similar finance-related position is an advantage,
particularly in a childcare or educational setting.
• Strong proficiency in financial record-keeping and relevant software (e.g., spreadsheets,
accounting software).
• Excellent communication and interpersonal skills to interact professionally with parents or
guardians and collaborate with team members effectively.
• Exceptional organizational skills and attention to detail to maintain accurate records and ensure
precise billing and invoicing.
• Ability to handle sensitive financial information with discretion and maintain confidentiality.
• Problem-solving skills to resolve billing disputes and outstanding balances tactfully.
• Understanding of childcare center operations and billing procedures is desirable.
• Familiarity with relevant local, state, and federal financial regulations related to childcare
services is a plus.
