Job Description:

We are seeking a Director of Finance and Administration for a small charitable organization here in Ottawa. You will have the opportunity to manage financial operations, monitor the organization's budget, and ensure compliance with grants and regulations. In addition, you will be responsible for the supervision of administrative tasks and maintaining a smooth workflow within the organization.

Responsibilities:

- Oversee the organization's financial management, including daily finances and budget management

- Manage the submission of regular financial reports and budget updates to funders

- Track all funding agreements and ensure timely financial and metrics reporting





- Collaborate closely with the Executive Director to prepare new funding proposals

- Oversee the posting of day-to-day transactions, including accounts receivable and month-end entries

- Review accounts payable and ensure coding accuracy

- Develop and maintain annual, departmental, project, and operational budgets

- Prepare and present monthly financial statements, budget vs. actuals, forecasting and variance analysis

- Liaise with Chair of the Finance & Audit Committee and present reports to the Committee and Board of Directors

- Monitor cash flow and ensure timely billings and revenue collections

- Oversee the preparation of monthly bank and credit card reconciliations

- Develop and implement financial and administrative policies and procedures

- Review and approve bi-weekly payroll and liaise with benefit and RRSP providers

- Oversee relationships with vendors, maintenance staff, and contractors, and manage IT strategy

- Negotiate vendor contracts, office and equipment leases, and capital asset purchases

- Collaborate with the Executive Director to identify and mitigate risks,



and report to the Finance Committee and Board.

Requirements:

- Minimum of 5 years of experience in a Director or Controller role or similar position. Ability to lead finance and take care of financial reporting to the Board of Directors.

- Familiarity with various Accounting Software Systems (currently SAGE 50)

- Experience with Ceridian payroll.

- Strong understanding of Accounting Functions

- Experience with Accounts Payable (AP) and Accounts Receivable (AR)

- Proven experience in Auditing

- Familiarity with Budget Processes

- Experience dealing with Funding Agencies

- Proven ability in Financial Statement Preparation

- CPA Designation is required or in the latter stages of completing a CPA

- Experience in Budgeting - Forecasting

- Proven ability to manage Posting Journal Entries

- Experience in Cash Flow Management
