About Us

The Faculty of Health Sciences is a large, diverse, and comprehensive unit, comprised of seven Schools (Nursing, Kinesiology, Health Studies, Physical Therapy, Occupational Therapy, Communication Sciences and Disorders and Food and Nutritional Sciences), a large Interdisciplinary Graduate Program in Health and Rehabilitation Sciences and four Research Centers. The Faculty has more than 4,000 undergraduate students and more than 900 graduate students (200 PhD students).

Responsibilities

Under the direction of the School Director and the Manager of Operations & Finance, the Program Assistant provides program information and administrative support for both the undergraduate and graduate programs in the Brescia School of Food and Nutritional Sciences. The role responds to student inquiries, provides program information on University academic policies and procedures, and resolves many student related issues, or refers to Academic Advisors or Undergraduate chair as needed.



The Program Assistant supports course and exam scheduling, grade submissions, adjudication, awards, scholarships, publication updates, and maintains undergraduate and graduate student files. The Program Assistant will also be responsible for overseeing the admissions process for the graduate programs (DDEPT and MScFN).

Qualifications

Education:

- 3 year Community College Diploma in Administrative or Business Studies

Experience:

- 3 years of experience providing administrative support, customer service, and administering undergraduate/graduate programs and student policies and procedures in an academic environment
- Experience providing frontline support to graduate and/or undergraduate students preferred

Knowledge, Skills & Abilities:

- Knowledge of general office procedures including records management systems




- Ability to understand student needs and expectations and provide excellent customer service to satisfy expectations
- Intermediate proficiency required in Microsoft Office
- Familiarity with software applications used by Western preferred – e.g., OWL, PeopleSoft, Adobe, GradNet
- Verbal and written communication skills to clearly express ideas
- Ability to establish rapport with people from diverse backgrounds
- Competency to maintain confidentiality and treat sensitive information with discretion
- A strong record of teamwork and the ability to work independently
- Ability to process information with a high degree of accuracy
- Strong problem-solving skills with the ability to research/investigate issues
- Ability to work in a fast-paced environment with constant interruptions
- Ability to multi-task and maintain an organized work environment




- Familiarity with academic calendar and programs at Western preferred
