Position Information:




Full-time Support Staff Position Opportunity (Temporary Employee Replacement (Appendix D, see page 109 of collective agreement), February 2025 until May 2026
Payband: E; Starting Rate: $28.78; Four Year Rate: $33.37
Department: Professional and Part-Time Learning
Hours: 35 hours per week; (1) one hour lunch; (typically Mon–Fri, 8:30 am–4:30 pm, with occasional evenings/weekends adjustments for peak periods and events)
Reporting To: Director, Registration Services & Operations
Campus Location: Oshawa Campus (this is an on-site position; hybrid or remote options are not available)

Professional & Part-Time Learning (PPL) at Durham College offers flexible education options designed for working professionals and adult learners who wish to upgrade their skills, advance in their careers, or explore new fields of study.



PPL provides a wide range of courses, certificates, and diplomas in various areas, including business, healthcare, technology, and more. As a Program Assistant, you’ll play a vital role in supporting our students and program managers, ensuring our programs run smoothly.

You won’t find a better team culture – in PPL we work hard, have fun, and support each other. Please note though, that we are on-site five days per week (hybrid/remote working arrangements are not available), and occasional evening/weekend work is required during our peak operational periods and for events like program information night and convocation.

Duties and Responsibilities:
This position provides specialized technical and operational support within Professional and Part-time Learning.

This position ensures timely preparation, completion,



and organization of more than 800 OntarioLearn course outlines and Durham College course outlines for semester and monthly intakes, and ensures they are available to students in MyDC. The incumbent also ensures that Durham College course outlines are available to external OntarioLearn host colleges before the start of each semester and monthly intakes. The incumbent is responsible for processing all admissions forms for Diploma and Ontario College Certificate courses ensuring all course admission requirements are met. The incumbent also provides general assistance with semester and monthly intake course checks, and the coordination of customer service programs within the department.

Administrative/Clerical

- Process admissions forms for PPL programs, verifying requirements and addressing student inquiries.
- Conduct quality assurance checks on OntarioLearn (OL)



and DC Connect course shells to ensure accuracy of course details and content.
- Manage course outlines by creating tracking files, uploading to MyDC and OntarioLearn, and maintaining organized records.
- Liaise with OntarioLearn counterparts and program managers to address missing or outdated course outlines and ensure compliance with requirements.
- Monitor and update ACE program content, process ACE registrations, and ensure accurate reporting to OntarioLearn for intakes.
- Provide administrative support for specialized programs and tasks, including welding and healthcare courses, generating operational reports, and assisting with live chat customer support.

Communications:

- Collaborate daily with PPL office staff, managers, and internal departments to address course operations, student issues, and policy updates.




- Communicate with faculty regarding course outlines, textbooks, and procedures, ensuring they have necessary resources and support.
- Provide comprehensive support to students through various channels, offering information on programs, registration, fees, and policies while resolving or escalating issues as needed.
- Liaise with OntarioLearn counterparts, college departments, and external partners to address operational needs, student concerns, and course-related issues.
- Advocate for student success by referring them to appropriate resources and working with Program Managers to resolve complex matters.

Additional Responsibilities:

- Some evening and weekend duties required including evening office coverage as well as assistance with events as such
- Open House, Program Information Nights, convocation, orientation etc. In addition,



during peak periods, evening office coverage may be required.
- Project work or analysis requests
- Other tasks as assigned.

Qualifications:

- A minimum of a 2-year diploma or equivalent in Business or a related field.
- A minimum of 3 years of work experience in an academic office, particularly an online educational department.
- Familiarity with e-learning platforms and online courses.
- Knowledge of program areas offered by PPL is an asset – Business and Computers, Health and Community, and Education.
- Resourceful in assessing and solving problems in a pro-active, self-directed manner with tact and diplomacy.
- Excellent interpersonal and communication skills, exceptional attention to detail, and excellent organizational skills.
- Ability to work well under pressure in a busy and high-volume environment.
- Adaptability and flexibility.




- Ability to work well both independently and as part of a team.
- Commitment to high standard of customer service.
- Excel experience is required. Banner software experience is an asset.
