About the Role
Under the supervision of the Director, Business and Retail Services, the Administrative Assistant will assist with administrative tasks associated with the operations of the Business and Retail Services department.
This includes but is not limited to customer service; program audits; marketing; scheduling; registration; risk mitigation; and reporting. Additionally, the Administrative Assistant will be responsible for supporting database and records management. The Administrative Assistant must have the ability to work shifts between the hours 7:00am - 6:00pm for the months of July and August. This is an on-campus, in-person position requiring a police information check with vulnerable sector search and Standard First Aid with CPR Level C.
Responsibilities
- Act as a point of contact for parents, campers, members of the public and staff.
- Provide program information as required and recommend appropriate program choices via phone, email and in person.
- Maintain excellent customer service on an ongoing basis.
- Respond to routine inquiries from internal and external stakeholders in a timely fashion.
- Assist in tracking registration, web content, social media, inventory, on- and off-campus bookings, meal plans, facility usage, bursary applications, and program schedules; prepare progress and usage reports as directed.
- Prepare reports, presentations,
meeting notes, and briefs as guided by the Director.
- Assist in database input and rollover requirements.
- Assist in departmental records management.
- Support the Director of Business Services with emails, schedules, calendar events, and business expenses.
- Support the Office Coordinator and seasonal office support staff, and ensure deadlines are met and procedures are followed.
- Work as part of a team to plan and execute training and orientation for 80+ employees and 20+ volunteers.
- Attend career fairs and other professional recruitment initiatives as assigned.
- Assist staff with information regarding procedure in relation to registration, class lists, schedules, timesheets, payroll, and any other questions that may arise pertaining to operational and employment requirements.
- Maintain accurate camp information and statistics as required for partner agencies, sponsors, and associations.
- Ensure camp materials are not duplicated and distributed and that copyright laws are followed.
- Compile information pertaining to surveys and external market research as directed.
- Assist with other administrative reports as directed.
- Write internal control reports and attest what the program team delivered, key learnings, challenges, and highlight improvements and make recommendations needed for future programming.
- Assess program performance and provide an evaluation of the program in terms of quality of work.
- Arrange for external review of programs when necessary.
- Assist the Office Coordinator with program audits to assess areas to strengthen programs and mitigate risks.
- Support training manual revisions with a high attention to detail and make recommendations for improvements.
- Report on program/department information to team members on a regular basis as directed.
- Assist in implementation of marketing strategies and specific program/camp promotion (may include brochures, newspaper ads, web page development, direct marketing materials).
- Respond to potential customer, staff, and community partner (internal/external) inquiries.
- Assist and/or organize events such as trade shows, and career expos.
- Other duties as assigned.
Qualifications
- Two-year diploma from a university or equivalent
- Experience combined with post-secondary education may be considered
- Extensive experience, knowledge and understanding of children and youth programs and delivery is an asset
- Strong organizational and time management skills
- Work process, database and spreadsheet skills
- Ability to work under pressure, independently, and as an effective team player
- Excellent communication and interpersonal skills
- Interest/education in the program area coordinated is an asset
- Problem solving and basic budgeting skills
- Police information check with vulnerable sector search
- Standard First Aid with CPR Level C
- Work process, database and spreadsheet skills
- Ability to work under pressure, independently, and as an effective team player
Salary: $42,572 - $53,833 per annum
