POSITION SUMMARY
The Calgary SCOPE Society is seeking an experienced, reliable and task-oriented Payroll Administrator to join our administrative team.
WORKING CONDITIONS
This position is full-time Monday to Friday (37.5 hours per week).
KEY RESPONSIBILITIES
- Process full cycle of semi-monthly payrolls for 400+ hourly and salary employees (4 per month) in a timely manner.
- Input new employee files into the accounting system.
- Complete file transfers from web-based scheduling software system to accounting system.
- Review sick time and statutory holiday eligibility.
- Maintain detailed records and documentation of payroll functions for audit purposes, in accordance with statutory requirements (e.g., time/labour, vacation pay, leaves, corrections, retroactive pay increases, authorized deductions and adjustments, etc.)• Complete calculations for and generate manual cheques.
- Respond to phone calls, emails or employee walk-in inquiries regarding payroll and payroll discrepancies in a friendly and professional manner making the necessary adjustments/corrections, as needed.
- Process and remit garnishments or other remuneration adjustments maintaining thorough documentation.
- Process provincial and federal tax remittances.
- Ensure compliance with Canadian payroll laws including deductions for taxes, CPP, EI and other statutory requirements, and remain current on changes in payroll legislation and regulations.
- Work with human resources to ensure pay and employee records are accurate and up to date and the proper documentation and authorizations are received and validated e.g.,
employee information, pay rates, benefits deductions, work permits, employee status changes, etc.
- Process records of employment for employees.
- Ensure authorized employee changes are entered correctly and in a timely manner.
- Process program staff expenses payments on a monthly basis.
- Process accounts payable transactions and journal entries, as needed, and reconcile payroll-related entries for financial reporting.
- Complete year-end activities including preparing and filing of T4s and T2200s.
- Maintain the general filing system and file all correspondence.• Provide analytical reporting and payroll metrics as required.
- Identify process improvements, focusing on enhancing accuracy, efficiency and overall payroll functionality.
QUALIFICATIONS AND EXPERIENCE
- Certificate or diploma in payroll, business,
accounting or related discipline or a combination of education, training and experience.
- 2 – 3 years experience in completing of full cycle payroll activities.
- Previous experience with Sage 300 and/or QuickBooks is considered an asset.
- Proficiency with Microsoft Office.
- Well-organized and self-motivated.
- Ability to work in a team in a cooperative manner.
- Ability to multitask and meet obligations in a deadline driven environment.
- Detail-oriented with strong time management skills.
- Capable of handling confidential, sensitive and personal information.
