Assistant Patron Services Manager, Scheduling (part time)

TO Live’s Patron and Event Services Department is currently accepting applications for the role of Assistant Patron Services Manager, Scheduling. This is an exciting part-time seasonal position for an experienced and outgoing team player. This role consists of working evenings and weekend hours as required.
Under the guidance of the Senior Manager of Patron Services or their representative, the Assistant Patron Service Manager, Scheduling will collaborate closely with the management team to support daily department operations.
This role will be primarily in person at one of our venues.
KEY ACTIVITIES AND RESPONSIBILITIES
- Create and maintain an accurate staff schedule for all B173 staff (FOH, Box Office, Concessions).
- Ensure staffing levels meet performance needs and union agreements.
- Monitor staff availability, time-off requests, and shift swaps to ensure proper coverage.
- Collaborate with department managers to determine staffing needs for rehearsals, performances, and events.
- Communicate staffing updates and adjustments to managers and staff.
- Manager and resolve scheduling conflicts and last-minute changes.
- Maintain seniority lists and prepare month event calendars and reports.
- Attend site tours and client meetings as needed.
- Coordinate with clients and TO Live departments to determine event requirements.
- Prepare and monitor event budges and assist with coordinating external services (security, staffing).
- Assist the Patron and Events Services team with preparing reports, maintaining databases, and updating financial and administrative records.
- Supervise the unionized patron service team (front-of-house, food and beverage, merchandise, security) during performances and events,
ensuring a smooth and professional patron experience.
- Manage staff uniforms and inventory, ordering name tags and uniforms, stocking supplies, and scheduling laundry.
- Assist with general departmental administrative tasks and undertake special projects as assigned.
JOB SPECIFICATIONS
- Smart Serve Certified.
- Previous experience in live events or venue management preferred.
- Essential administrative experience.
- Proficient in Microsoft Excel, Word, Explorer, and Outlook.
- Effective communication skills with a professional demeanor.
- Demonstrates initiative and works well with minimal supervision.
- Thrives in a fast-paced, high-pressure environment.
WORKING CONDITIONS
- Requires fast-paced mobility throughout shifts.
- Familiarity with union environments and Collective Bargaining agreements.
- Variable hours including late nights and weekends.
- Work may occur in settings lacking natural light.
- Travel between TO Live venues as needed.
