Friends of Ruby is dedicated to supporting the well-being of 2SLGBTQIA+ youth aged 16-29 through mental health services, social programs, and housing. We operate a Youth Drop-In Centre, offering barrier-free counselling, hot meals, and community programming, and a Transitional Home, providing emergency and long-term housing with life-skills support.

Position Summary:
As an Executive Assistant, you will be an integral part of Friends of Ruby’s day-to-day operations, providing administrative support to the Senior Directors, Executive Director, and Board of Directors. This is a fantastic opportunity for an energetic and organized individual who enjoys wearing multiple hats and supporting a growing, fast-paced organization.
About the Role:
In this role, you will:
- Perform administrative and clerical duties such as data entry, filing, and inventory management.
- Coordinate logistics for meetings and events, including scheduling, venue setup, and catering arrangements.
- Manage schedules for the Senior Directors, Executive Director, and Board of Directors.
- Prepare materials for meetings, including agendas, minutes, and presentation slides.
- Oversee onboarding and offboarding processes for staff, including equipment and account setup.
- Maintain office supplies and organize filing systems (physical and digital).
- Provide support for events, travel arrangements, and other special projects.
- Help maintain a welcoming and organized environment, including light housekeeping and ensuring equipment is in good order.
What You Bring:
- A diploma in office administration or equivalent work experience.
- Experience supporting management teams, scheduling, and handling administrative tasks.
- Strong organizational and problem-solving skills, with attention to detail.
- Proficiency in Microsoft Office 365 and familiarity with office equipment.
- Excellent communication and interpersonal skills, with a welcoming and helpful attitude.
- The ability to work flexibly and manage multiple priorities in a fast-paced environment.
- Knowledge of the 2SLGBTQIA+ community is an asset.

What We Need:
- Satisfactory clearance under the Vulnerable Sector Police Check Program.
- Legal eligibility to work in Canada.
- Willingness to work onsite regularly at our downtown Toronto office, with occasional evening hours.
- Ability to travel to community-based settings as needed.
