Invites applications for the position of
Permanent Full-Time – Human Resources Administrator

Position Summary:

Under the supervision of the Manager of Human Resources, the Human Resources Administrator
provides support for Human Resources in duties such as attendance tracking, timekeeping,
personnel files and records, health and safety and office administration. The Human Resources
Administrator works closely with the Health and Ability Claim Coordinator, supporting where
required. Additionally, the Human Resources Administrator assists with day-to-day
administrative duties to ensure adequate member focused delivery.

Specific Tasks and Responsibilities:

Attendance Administration





- Maintain attendance records for all members through OSL and documented to the member’s personnel file.
- Create and distribute daily report for Personal Health Days and medical leaves.
- Assist with day-to-day clerical tasks for the HR Health and Abilities Coordinator.
- Assist members utilizing the Income Protection Guide and process of Short Term,Long Term and WSIB Claims with the designated provider.
- Assist with maintaining up to date and accurate records for members on Short Term, Long Term, WSIB and workplace accommodations.

Timekeeping/OSL

- Use OSL to ensure the daily reconciliation of Personal Health Days for full-time members.
- Reconcile outstanding sick time with members who have exhausted their Personal Health Days.
- Enter and maintain records for part-time sick leaves, including eligible bereavement as defined in the Collective Agreement.
- Ensure accuracy and understanding of the Collective Agreements in reference to Income Protection Plan, Bereavement leave and banks to be used for top-up ad time off such as Banked Time, Frozen Sick Time, and Annual Leave.




- Prepare reports using OSL for sick time and medical leaves as requested.
- Assist to ensure all payroll related entries and information is inputted into OSL in real time to ensure accuracy and to meet deadlines for processing proper payment.

Human Resources Duties

- Act as a point of contact within the Human Resources Branch welcoming members to the unit and directing members to resources and answering questions when required.
- Prepare and distribute meeting agendas and minutes for Committee Meetings, such as
- Civilian Job Selection, Health and Safety.
- Respond to Human Resources inquiries from internal members, as well as external requests for information.
- Prepare correspondence as requested.
- Maintain calendar of key dates.
- Participate in any ongoing Human Resources projects and various other duties, as required,



to assist in maintaining branch efficiency.
- Assist with issuing access cards and identification cards to all new personnel and external vendors.
- Assist when required in the coordination and facilitation of testing, interviews, and the background process during the recruitment and selection process with the Talent Acquisition and Retention Coordinator.

Qualifications:

- Successful completion of college diploma in Human Resources or related field equivalent.
- Minimum two to three years of experience in Human Resources or related field.
- Demonstrated ability and proficiency in computer and software applications such as Microsoft Word, Excel, and PDF Software.
- Demonstrated knowledge of all relevant regulations and legislation (Human Rights Code of Ontario, Occupational Health and Safety Act, Workplace Safety, and Insurance Act).




- Demonstrated ability to maintain the strictest confidentiality within the Branch, ensuring the protection of privacy of all personnel and applicants.

Assets:

- Bilingualism considered an asset. We value any additional language that a candidate is proficient in.
- Currently working towards obtaining Certified Human Resources Professional Designation (CHRP).
- Experience working with Human Resources Information Management Systems and/or Applicant Tracking systems.

- Demonstrated understanding of Human Resources practices and applicable legislation.
- Demonstrated experience in facilitation and/or presentation skills.
- Proven organizational, time management and motivational skills.

Hours of Work: Monday to Friday - (8) eight - hour days.

Rate of Pay: $29.69 - $37.22 / hour.
