About the Assistant Events Intern:

Hi, I’m Kathleen, the People Operations Manager here at Venture for Canada (VFC). I’ll be leading the recruitment for this new opening. I’ve been with VFC since 2019 and have seen it grow from 9 to 30+ team members! We’ve got such a dedicated and hardworking team of amazing people and we’re excited to see it expand! Reporting to the Event Logistics and Experience Coordinator, the Assistant Events Intern will support the development and on-site operations of our Fellowship Training Camp hosted at Queen’s University. You’ll have a direct impact on Venture for Canada’s program offerings and event production. You’ll do this by embracing our learning and development offerings through teaching, hosting, or facilitating learning opportunities, running events, and working closely with a range of cross-functional teams.





This is role is part of VFC's commitment to fostering work-integrated learning for Canadian students, in addition to gaining valuable hands-on experience, interns will also receive 1x1 mentoring from our Director of People Operations and Finance, a curated set of learning materials, and participate in professional development groups to further advance skill development. These skill development sessions will focus on relationship building, time management, objective-based working styles, delegation, project planning and execution, working in small teams, and more!

This is a contract position and employment is contingent on funding approval.

Please note, to be eligible for this position, you must:

- be a Canadian citizen, permanent resident,



or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment; and,
- have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations; and,
- be 30 years of age or younger at the time of the internship.

Role Responsibilities

- Preparation, Planning & Project Management:
- Assist in the later stages of event planning, including finalizing documents, spreadsheets, and event execution plans
- Manage inventory and ensure all materials needed for events are accounted for and ready.
- Support the coordination and management of event projects, ensuring tasks are completed on time.
- Create and maintain comprehensive project documentation.
- Utilize platforms like Hubspot, zoom and Notion to manage event registrations and communications.




- Be present at events to manage day-to-day operations, including set up, daily operation, and tear down if needed
- Support with materials management and tech support on-site.
- Help in debriefing sessions post-event to discuss outcomes and areas for improvement.

- Community and City Guide Creation:

- Participate in the development of guides that provide valuable information for event attendees.

- Contribute to DEI initiatives in event planning and execution to foster inclusive environments.
- On-Site and Special Event Support:

- Catering and Activities:
- Oversee daily catering arrangements and ensure smooth service delivery.
- Plan and execute engaging activities for event attendees.

- Post-Event Responsibilities:

- Participate in the clean-up and tear down post-event.
- Assist in packing and unpacking event materials.




- Conduct follow-ups with attendees through surveys and manage the tracking of thank-you notes.

- Any other reasonable requests from VFC.

Job Requirements:

- Project/event coordination experience
- Strong spoken and written communication skills
- Detail-oriented with proofreading skills to meticulously review and refine various types of content, ensuring accuracy and consistency in all materials
- Some experience supporting a large group of young people is preferred
- Motivated to ask questions to seek greater understanding and identify opportunities to support with the best resources
- Ability to work evenings and weekends during event weeks
- Ability to work remotely
- Ability to work on-site in Kingston from mid-May to June 1, 2025 (accommodation, travel, and meals will be provided)
- Ability to manage multiple tasks and projects simultaneously under tight deadlines




- Experience in creating and maintaining comprehensive project documentation
- Ability to contribute innovative ideas and implement new processes to improve event outcomes
- Proficiency with Google Workspace/Gmail, HubSpot, Slack, Zoom, and the Windows operating system are assets
- Must be legally authorized to work in Canada.

Venture for Canada is committed to providing equal pay for equal work with salaries in line with industry standards. The salary for this position is 770/week.

Location: Virtual, home office must be within Ontario or Quebec.
