Position Title: Bilingual Clinical Assistant

Division: ByWard Clinic Management (BCM)

Job Status: Full-Time

Job Reports To: Nurse Team Lead

Hourly Rate: $21.42 – $29.09 ($41,769 - $56,734)

Location: 100 Marie-Curie private #300

ORGANIZATIONAL DESCRIPTION

ByWard Clinic Management (BCM), formerly the University of Ottawa Health Services (UOHS), offers a comprehensive range of services to the University of Ottawa students, faculty, staff, and the general public. BCM operates busy clinics open to University of Ottawa students, faculty and staff, other patients registered to a BCM family physician as well as members of the general public. JOB SUMMARY

Reporting to the nurse Team Lead, the Medical Office Assistant is to provide direct patient care in a clinical setting, to perform work as required under the supervision of a registered nurse in addition to frontline and patient facing administrative duties.

ESSENTIAL RESPONSIBILITIES

Clinical

- Coordinate patient flow through the clinic – waiting room, exam room.
- Triage patients for their appointment as per the triage protocol.
- Measure vital signs on each patient as per Triage Guidelines and record in electronic medical record.
- Maintain electronic medical records and document accurately as per Triage Guidelines.
- Clean and sterilize materials and instruments following instrument reprocessing standards and guidelines.
- Prepare examination rooms; select, set up and maintain medical supplies and equipment for all examinations and procedures.
- Work collaboratively with nurses, physicians,



and reception staff to promote efficient clinic functioning and quality of patient experience.
- Participate in team and staff meetings as requested.
- Participate in staff development programs and promote team cohesiveness.

Administrative

- Greet and register patients, as per patient registration guidelines.
- Answer multi-line telephone, screen, and provide information/assistance or route caller to appropriate personnel, take messages and deliver to the appropriate personnel.
- Schedule, confirm, cancel, and reschedule medical appointments, for physicians, AHP’s, and/or administration requests.
- Establish and maintain confidential electronic medicals records; ensure accurate patient demographic information.
- Perform entry-level billing and collection.

ESSENTIAL QUALIFICATIONS

- Bilingual (French and English) is imperative




- Completion of a college program or other specialized courses for medical administration required or a combination of training and experience
- Previous experience as a health care aide in a healthcare environment.
- Current First Aid and CPR certifications.
- Ability to work efficiently and effectively in a fast-paced clinical environment.
- Computer literacy: MS Word, Outlook, EMR and Internet.
- Excellent communication and customer service skills.

RELATIONSHIPS CONTACTS

Internally: Successful relationships with administration and management within all divisions.

Externally: Successful relationships with patients, representatives, and other clients that present themselves via telephone or in writing. There are no supervisory responsibilities related to this role.

ADDITIONAL INFORMATION:

- The clinics are open between 8am-8pm Monday to Friday and from 9am-12pm on weekends.



Must be available to work various shifts between those times.
