About Mount Royal Conservatory
Mount Royal University’s (MRU) Conservatory has played a pivotal role in Calgary’s performing arts scene since 1911, enabling people of all ages and abilities to take part in the performing arts. No other performing arts organization has a comparable history or serves as large and diverse a community, from early childhood education through all stages of life. As an educational leader and innovator, it is the largest institution of its kind in Canada; the Conservatory is unique in the breadth and scope of its programming.
About the Role
The successful candidate will be responsible for the coordination, booking, and set-up of all Conservatory teaching and performing spaces.
The Administrative Assistant – Facilities is also responsible for ensuring the upkeep and maintenance of all Conservatory facilities, teaching spaces, and capital inventory including the Conservatory’s extensive piano stock. The Administrative Assistant – Facilities must work closely with all office staff and Conservatory Instructors. Participation as a team member in daily procedures and attendance at area meetings are also required.
Responsibilities
Facilities Management
- Support Program Coordinators and Facilitators in coordinating bookings for all Conservatory facilities, including studios , classrooms, and theatres
- Oversee classroom bookings for Conservatory classes, scheduled three times a year (Fall, Winter, and Summer semesters)
- Coordinate all set-up requirements for classrooms for weekly classes and special events with MRU’s Event, Theatre, and Hospitality Services (ETHS) and custodial services
- Coordinate the ordering and distribution of keys and OneCard access for instructors and staff as needed
- Communicate with maintenance and custodial departments regarding building upkeep and repairs, including cleaning of studios, painting, carpet cleaning, lightbulb replacements, and other maintenance tasks
- Report stolen items, weekend bookings, and manage room access requests with Security
- Book additional facilities for masterclasses, recitals, and extra teaching sessions, and confirm details with students and instructors involved
- Print and post weekly, monthly, semesterly, and yearly room schedules on Conservatory event boards for reference by students, instructors, and staff
- Provide all class and room booking information to relevant Conservatory staff, instructors, security, and custodial services each semester
Event Support
- In collaboration with Program Coordinators, Facilitators, and instructors, support Conservatory events, masterclasses,
and recitals; coordinate event and theatre requirements with ETHS
- Maintain regular communication with Event and Theatre Services regarding theatre requirements for events, recitals, and masterclasses
- Coordinate event and theatre requirements with ETHS, ensuring all necessary set-ups and technical requirements are met
- Assist with maintaining and updating the event webpage, ensuring accurate and timely information
Capital Inventory
- Monitor and track capital inventory items owned by the Conservatory, ensuring all changes are reported to the Finance Department
- Maintain and update inventory tags for all Conservatory assets
- Conduct regular inventory of all Conservatory studios, classrooms, and office
- Manage the Conservatory’s instrument loan program, including tracking which instruments are loaned out to students and instructors
- Oversee the off-site instrument loan program, tracking movement of instruments and ensuring that adequate insurance coverage is in place for all off-site loans
- Assist in the development and maintenance of Conservatory inventory lists and instrument loan procedures, communicating these to Conservatory staff and instructors as necessary
Piano tuning and instrument maintenance
- Coordinate regular piano tuning for regular teaching studios and classrooms with the contracted piano tuner. Ensuring pianos are in optimal condition is crucial to maintaining the Conservatory’s fine reputation and supporting all activities and special events
- Oversee ongoing maintenance of Conservatory pianos and other instruments, arranging repairs and upkeep as required
SOCAN and Copyright reporting
- Liaise with the MRU Copyright Advisor to ensure that all SOCAN and copyright reporting requirements are met in a timely manner each quarter
- Collect necessary information from instructors and ensemble directors to accurately complete the quarterly copyright reporting process
Other duties as assigned
- Perform other duties as required to support the Conservatory’s operations and initiatives
Qualifications
- Minimum of a two-year diploma
- Minimum of 1-3 years of relevant experience
- Previous experience working in a music education environment is an asset, although not required
- Creative and versatile individual
- Excellent communication, customer service, critical thinking, and problem-solving skills are required for this role
- Demonstrated ability to work collaboratively with a team
- Attention to detail
- Demonstrated ability to work in a busy,
multi-tasking environment with frequent interruptions
- Demonstrated ability to see through and successfully complete large-scale projects
Salary: $45,992 - $58, 244 per annum
