Invites applications for the position of
Permanent Part-Time – Court Clerk
Position Summary:
The Court Clerk attends when required with accurate court documents/files to assist the Crown
Attorney during applicable proceedings such as but not limited to Bail, Set Date, Confirmation
Hearings, Domestic Violence Court, Wellness Court and First Appearance Court. In addition to
accurately record court dispositions from SCOPE LEM (Scheduling Crown Operations Prepared
Electronically Law Enforcement Module) for Greater Sudbury Police Service charges so that they
may be recorded by the RCMP. The Court Clerk is also responsible for the preparation of all
documentation required for court purposes,
ensuring accuracy to obtain convictions.
Specific Tasks and Responsibilities:
- Monitor the court portal for new briefs to be assembled and submitted to SCOPE.
- Scanning (when required), Uploading documents into the “Y” brief drive.
- Uploading brief documents from Y drive to Niche.
- Working in Adobe Pro to extract and format disclosure.
- Create Scope Case Files and Information’s in Niche.
- Submit disclosure via paper in legacy cases and via SCOPE for post Sept 18, 2018 cases.
- Monitor the court portal to prepare the upcoming week’s dockets.
- Monitor the court portal and electronic Scope dockets for daily adjournments and dispositions from court.
- Monitor the court portal and electronic scope dockets for bench warrants issued in court.
- Upload court orders including but not limited to bail documents, sentencing orders, non communication orders, indictments, etc. and submit to CPIC.
- Upload and maintain witness lists into the court portal.
- Maintain Canadian Justice Information Management (CJIM) Portal/Ghost Screen.
- Preparation of Court Briefs, including:
- Generation of warrants, subpoenas, and summons and ensuring proper charge wordings.
- Ensuring charges are accurate and applicable.
- Compiling all necessary documentation required.
- Assembling brief and forwarding same to CPIC for entry.
- Copying briefs and forwarding to Crown’s office.
- Creating assignments to officers requesting clarification and/or additional documentation.
- Modify court briefs returned from court onto NICHE.
- Type information and warrants in the first instance, including:
- Benching warrants as well as certificates; creating incident numbers, adding persons, charges, etc.
- FTA (Fail to Appear) - Identification warrants along with certificates.
- Prepare all necessary documentation in relation to Notices of trial.
- File all subpoenas and court correspondence.
- Document all out of town subpoenas and summons.
- Send for individual driving records and file through ISS.
- Apply to the MTO for vehicle record search for some HTA charges through ISS.
- Document and control all out of town transfer of charges as received from the Crown Attorney.
- Perform Criminal Record checks as required and pull criminal files for Officers.
- Assist Crown Attorney and all prosecutors as required.
- Ensure all documents paper/media/digital(copies) submitted at a later date are forwarded to Crown’s Office for Crown and Defence in the proper manner based on the Incident’s case file whether it was legacy (paper) or SCOPE Case File.
Qualifications:
- Successful completion of Secondary School (Grade 12) or equivalent.
- Six (6) months but less than one (1) year of previous experience.
- Keyboarding to a minimum of 45 wpm.
- Demonstrated knowledge and experience in using Microsoft Word and PDF Readers.
Assets:
- Good knowledge of office procedures and routines required through related experience.
- Demonstrated knowledge and functional use of current Records Management System.
- Knowledge of Police Service activities, police protocol, and procedures necessary to ensure accuracy and completeness of documents.
- Demonstrated knowledge of CPIC duties and policies.
- Knowledge of court proceedings, Crown Briefs, and Greater Sudbury Police Policies.

Hours of Work: Monday - Friday (8) eight hour days, some weekends required.
Rate of Pay: $28.18 - $35.32 per hour
