Responsibilities
Job Responsibilities:

- Assist the Property Manager with preparing and tracking the annual budget (TMI forecast vs. actual) and gathering necessary supporting documents and reports.
- Provide administrative support to the office/department, including distributing mail, memos, letters, faxes, and forms, attending to email inquiries, and directing them to the appropriate parties.
- Help prepare scheduled reports and coordinate the flow of information within the company.
- Oversee the quality of all contracts to ensure they are fully signed and compliant with municipal standards.
- Ensure the property complies with the Accessibility for Ontarians with Disabilities Act (AODA) and Toronto property-related compliance standards.
- Manage ordering of necessary supplies.
- Assist the Property Manager in collecting and entering monthly rents and tenant sales.
- Ensure tenant insurance certificates are valid and copies are maintained in their files.




- Support the Property Manager with lease renewals by keeping a schedule of upcoming lease end dates and advising accordingly.
- Provide administrative support directly to the Property Manager.
- Maintain and update tenant lists/files and other necessary records (TMI binders).
- Prepare and distribute correspondence such as tenant letters.
- Assist in resolving tenant issues and provide additional support in handling day-to-day matters.

Qualifications
- 1-3 years of relevant experience in a property management administrative role.
- Proficiency in basic accounting skills and knowledge.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Word and Excel.
- Proven organizational skills with the ability to meet deadlines.
- Detail-oriented with the capability to manage multiple competing priorities.




- Strong problem-solving skills using factual and sound reasoning.
- Ability to work independently as well as collaboratively within a team.
